Lindsay Perkin, based in Seattle, WA, USA, operates Rodent Management Exchange and is responsible for the personal information collected through this website (the data controller). Contact her at info@rodentmanagement.org. This page explains what we collect through email signups and provider profiles, how we use that information, and what is still being developed for the farmer experience study.

Why we use your information

We rely on your consent to send the emails you select and to store and review a provider profile. These activities are optional. We need the required form fields to fulfil your request; you can leave optional fields blank. Withdrawing consent does not affect processing that was lawful before you withdrew it.

We use information in direct enquiries to respond to you, and technical information to operate and protect the site, based on our legitimate interests in responding to requests and keeping the service secure. We do not make decisions with legal or similarly significant effects about you solely by automated means.

Email signups

We collect your first name, last name, email address, and the email options you select, along with a record of your permission and a private unsubscribe link. Older signups may not include a name.

You can choose one, several, or all of these options: project updates, the farmer survey opening, study findings, the marketplace launch, the community forum launch, and provider listing opportunities. A link may preselect an option, but you can change it before submitting. Choosing a report or launch notification does not subscribe you to general project updates.

We use your details for the emails you request. We are collecting signups now; automatic email delivery is not connected yet, so you will not receive an automatic confirmation email.

When you first join, the confirmation on this website provides a personal unsubscribe link to save. Using it removes your name, email address, and all email selections from the active signup database. Future mailings will include an unsubscribe link. If you lose your link or want to change individual selections, contact us.

Submitting the signup form again with the same email adds your new selections. It does not remove earlier selections or update a name already on file.

Provider profiles

The provider form collects your name, work email, organization, service area, and the products or services you offer. You may also share a website, credentials, and an explanation of your services. We store your submission date and the version of the permission you accepted.

We welcome a candid account of your work, including any poison-based products or services. This helps us understand current practices and the support providers may need to move toward lower-harm management.

Profiles are private. The project lead reviews them to understand potential marketplace offerings and may contact you about a listing. Submitting a profile does not create a public listing, imply endorsement, or subscribe you to email updates. We will seek further agreement before publishing a profile.

Please do not include confidential client details or sensitive personal information. Contact us to correct or withdraw your profile. Provider records are separate from email signups, so unsubscribing from emails does not remove a provider profile.

The farmer experience study

The survey is still in development and is not open for participation. Signing up to hear when it opens does not enroll you in the study or require you to take part.

The study will be voluntary. Its purpose is to understand farmers’ experiences and gaps in support, not to conduct a certification audit. Before the survey opens, we will explain what it collects, which questions are optional, how responses will be used and stored, who can access them, and whether responses can be withdrawn after submission.

We plan to keep contact details separate from survey responses and publish grouped findings rather than identifiable individual responses. Reporting will address the study’s limitations and protect against identifying farms through written answers or small groups. Individual responses will not be shared with certifiers or distribution partners.

Storage, access, and retention

Signup and provider information is stored in the website’s hosted database. Access through the site’s management tools is restricted to the project lead. The public site is hosted by Cloudflare, and submissions are stored in a Cloudflare D1 database. These service providers process information needed to store submissions, operate the website, and protect it. The project lead accesses submissions from the United States; processing may take place outside your country.

Ongoing email selections are retained while you remain subscribed. One-time report and launch selections will be reviewed for removal after the requested email is sent. If you also chose ongoing updates, those selections remain. Provider profiles will be reviewed for removal when no longer needed for marketplace development or when you withdraw them. These reviews are managed by the project lead, not an automatic deletion schedule.

Website services and external links

Essential hosting and sign-in cookies may be used to operate and secure the service. Hosting and sign-in services may process technical connection data and account information to operate and protect the site. Cloudflare Access protects the project lead’s private management area. Public pages do not require an account.

We use Google Workspace for Exchange email. Incoming messages are also forwarded to the project lead’s Gmail account, with a copy retained in the Exchange mailbox. Google processes those messages to provide email services.

The website loads fonts from Google Fonts, which receives technical information when your browser requests them. Links to other websites take you to services with their own privacy practices. No external survey is embedded at present.

Optional analytics and cookies

With your consent, we use Google Analytics to understand how people use this website and improve it. Accept or Reject in the cookie notice. Rejecting leaves Analytics off and does not limit your use of the website. We do not load the Analytics tag or send Analytics requests before you accept.

After acceptance, Google receives page addresses and titles, visit and engagement information, cookie identifiers, and basic browser and device information. Your IP address is used to make the connection and derive approximate location; Google states that Analytics does not log or store IP addresses. Our setup removes query strings and referring-page addresses from the data sent to Analytics. It does not send form answers, names, email addresses, or private unsubscribe links, and Analytics is excluded from management and unsubscribe pages.

Analytics uses first-party cookies named _ga and _ga_HJN14NLSPY to distinguish visitors and sessions. We configure them to expire after no more than 180 days without extending their expiry on each visit; your browser may remove them sooner. We store your Accept or Reject choice separately in your browser’s local storage for 180 days.

Use Cookie settings in the footer to withdraw or change your consent at any time. Choosing Reject stops Analytics and removes its cookies on this site. This does not automatically delete information already received by Google; contact us about a deletion request. We set user-level and event-level data retention to two months, without resetting it on new activity. Aggregated reports may be retained longer. Google signals, advertising personalization, user-provided data collection, and enhanced measurement are turned off.

Google LLC provides Analytics under its Data Processing Terms. Processing may take place in the United States and other countries. Google describes its transfer safeguards, including the EU–US Data Privacy Framework, its UK Extension, and standard contractual clauses where applicable, in its international data-transfer information. You can also read how Google uses information from sites that use its services.

Your privacy rights

Where the EU or UK GDPR applies, you can request access to or correction of your personal information, deletion, restriction of processing, and a portable copy of information where applicable. You can withdraw consent at any time and object to processing based on legitimate interests. These rights are subject to the conditions and exceptions in the applicable law.

Use your private unsubscribe link to leave the email lists, or email us to exercise your rights or withdraw a provider profile. We will normally respond within one month; if a lawful extension is needed, we will explain why. You also have the right to complain to your local data protection authority, including an EU supervisory authority or the UK Information Commissioner’s Office.

Questions or changes

For questions about your information, corrections, email choices, or removal requests, contact info@rodentmanagement.org. Please tell us which email address or provider profile your request concerns.

We will update this page as the study, marketplace, and email services develop.
